Bearsight ("we", "us", or "our") operates the Bearsight website and provides two categories of services: the BearAI software product and Managed Data Warehouse engagements. This Privacy Policy explains how we collect, use, disclose, and protect your information across both service types.

2.1 Information you provide

  • Name and email address when you contact us or create an account
  • Business information provided during onboarding
  • Communication records when you contact our support team

2.2 BearAI — Real-Time Database Query Data

When you connect BearAI to your database, we use secure credentials to query your data in real time. Specifically:

  • We store only the connection credentials necessary to query your database
  • We query your database in real time to answer your questions — we do not copy or retain the content of your database on our servers
  • Query results are used only to generate the response you requested and are not persisted beyond the duration of the request
  • We do not share, sell, or use your database data for advertising or any secondary purpose

2.3 Managed Data Warehouse Engagements

For clients who engage Bearsight to design, build, and manage a data warehouse, the nature of data handling is different:

  • We connect to your third-party APIs and data sources on your behalf to extract and load data into a warehouse environment
  • This data is retained in a hosted warehouse as a core part of the service — it is the deliverable
  • All retained data is stored securely using encryption at rest and in transit, with access strictly limited to authorised Bearsight personnel and the client
  • We process this data only to build and maintain the analytics solution agreed in your engagement scope — never for our own purposes
  • Retention periods and deletion terms are defined in your individual engagement agreement; by default, data is deleted within 30 days of engagement termination unless otherwise agreed

2.4 Usage Data

We collect anonymised usage data (page views, feature usage, error logs) to improve our services. This data is not linked to your identity.

3. How We Use Your Information

  • To provide and maintain our services
  • To respond to your queries and support requests
  • To improve and develop our products
  • To send you service-related communications (you may opt out at any time)
  • To comply with legal obligations

4. Data Sharing

We do not sell, trade, or rent your personal information to third parties. We may share information with:

  • Service providers who assist in our operations (hosting, analytics) under strict confidentiality agreements
  • Law enforcement when required by applicable law

5. Data Retention

Retention periods differ depending on the service:

  • Account data — retained for as long as your account is active and deleted within 30 days of account closure, except where required by law
  • BearAI database credentials — deleted immediately upon account cancellation or when you remove the connection
  • Managed Data Warehouse data — retained for the duration of the engagement and for any period specified in your engagement agreement. Upon termination, warehouse data is deleted or returned to you within 30 days unless a longer retention period is legally required or contractually agreed

6. Your Rights

You have the right to:

  • Access, correct, or delete your personal data
  • Revoke BearAI database access at any time from your account settings
  • Request a copy of the data we hold about you
  • Request deletion of warehouse data upon engagement termination
  • Lodge a complaint with a supervisory authority

7. Security

We implement industry-standard security measures including encryption in transit (TLS/HTTPS), secure storage of credentials, and regular security reviews. No method of transmission is 100% secure, and we cannot guarantee absolute security.

8. Children's Privacy

Our services are not directed to children under 13. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on our website. Continued use of our services after changes constitutes acceptance of the updated policy.
